Quotation & Inventory Platform

A trading business quoted from a price list that moved weekly and a stock position held in a separate system. Quotes were assembled by hand in spreadsheets, which made them slow and — more expensively — occasionally wrong.

The problem

What we walked into.

Quotes rebuilt by hand from a price list that changed weekly.

Quotes built manually against a price list that was often already superseded

No stock check at quote time, so items were sometimes quoted that could not be supplied

Volume and customer-specific discounting applied inconsistently between salespeople

No record of what had been quoted at what price, making follow-up guesswork

The approach

How it was built.

01

Pricing rules made explicit

The discounting logic — volume bands, customer tiers, exceptions — was documented and encoded, which surfaced several rules that different salespeople had been applying differently.

02

Quotes priced from live data

The engine reads current pricing and live stock at the moment the quote is built, so a quote cannot be issued against a superseded price or an item that is not available.

03

Stock checked at quote time

Availability is visible while the quote is being assembled rather than discovered after the customer has accepted it.

04

Quote history retained

Every quote is stored with the pricing that applied when it was issued, so follow-up conversations start from fact rather than recollection.

05

Integrated rather than replaced

The existing inventory system stayed. Building the connective tissue was a fraction of the cost of replacing a system that was working, and it shipped in weeks.

The outcome

What changed.

Quotation engine wired to live stock and current pricing.

Quote turnaround reduced from hours to minutes

Every quote priced from live data, removing superseded-price errors

Discounting applied consistently across the sales team

Complete quote history available for follow-up and margin review
