HR Onboarding Automation

A services company was onboarding steadily enough that the informal process had become a risk. One person knew the full sequence — accounts, hardware, documents, introductions — and when they were on leave, new starters arrived to find nothing ready.

The problem

What we walked into.

Onboarding checklists lived in one person's head.

The complete checklist existed only in one person's head

Account provisioning across several tools done by hand, inconsistently

Document collection chased over chat, with no record of what was outstanding

New starters regularly reaching day one without access to what they needed

The approach

How it was built.

01

The sequence written down first

Every step from accepted offer to end of first week documented with its owner and its trigger, which by itself removed the single-point-of-failure risk before any automation existed.

02

Provisioning automated across tools

Accepting an offer triggers account creation in Google Workspace and the other systems a role needs, driven by role templates rather than a person remembering which tools apply.

03

Document collection that chases itself

Requests go out automatically with reminders on a schedule, and outstanding items are visible rather than living in someone's memory of a chat thread.

04

Guardrails against the obvious failure

The workflow is idempotent, so re-running it cannot create duplicate accounts, and failures route to a dead-letter path a human checks rather than disappearing.

05

Escalation on anything stuck

Steps that sit too long escalate to HR automatically, so the failure mode is a notification rather than a new starter with no laptop.

The outcome

What changed.

Offer-to-first-day runs as a workflow with automated account setup.

New-starter setup down from about a week to a single day

No missed steps since launch, with outstanding items visible throughout

Onboarding no longer dependent on one person's availability

Consistent provisioning by role rather than by recollection
